Data Approval Workflow

Brightest allows you to review and approve your colleagues data entries. This feature is available for all users with the role Administrator or Manager. When the data approval workflow feature is enabled, colleagues with the role Data Collaborator can submit Asset footprint data for review and approval.

Note, be sure to assign your Data Collaborators as "Managers" of the assets you want them to submit data for.

To assign colleagues as asset Managers, navigate to Sustainability > Assets > click on the Asset name. Then select the colleague(s) from the dropdown menu in the field "Managers". Then click "Update" at the bottom of the page. This will grant your Data Collaborators access to the Asset footprint page.

There are two options for enabling the Data Approval Workflow feature, navigate to your account settings.

Option 1 - enable Data Approval Workflow for ALL assets

  1. In account settings, click on "ESG and Sustainability Settings"

  2. Next click on the "GHG" section

  3. Switch on the "Require Approval for Submitted Asset Data" toggle.

  4. Scroll to the bottom of the page and click "Save".

Option 2 - enable Data Approval Workflow for only select assets

  1. Navigate to your Sustainability Module

  2. Then click on the "Assets" section.

  3. Locate the asset you want to enable the Data Approval Workflow feature. Click on the asset name to edit the asset information page.

  4. Once in the asset information page, scroll down to the bottom of the page. Check the box underneath the field "Enable Approval Workflow for Submitted Asset Data".

  5. Click "Save" or "Update".

Once the Data Approval Workflow has been enabled, your colleagues with the Data Collaborator user role will be able to submit data for approval.

Instructions for Data Collaborators

To enter asset data for approval, navigate to your Sites & Assets.

  1. Once in Sites & Assets, click on "View/Edit data".

  2. Select the year you want to enter data.

  3. Then select the category of data you want to enter.

  4. To enter data, click on "Add data". Fill out the relevant information.

  5. Then click "Update & Save" at the bottom of the page.

  6. After saving the data, you can click on "Submit for Approval". This will notify your account Administrators that data has been submitted for review.

  7. You will receive an email and notification if the data has been approved. You will receive a notification in the platform if the data has been sent back for revision.

All data points will be submitted for approval. Once data has been submitted for approval, it will be in read-only mode.
